1. Overview
This Refund Policy explains when and how Gym Optimized (“we,” “us,” or “our”) issues refunds for purchases made through the Gym Optimized mobile application (the “App”). This policy applies to all subscription plans, one-time purchases, and program purchases made through the App.
By making a purchase through the App, you agree to this Refund Policy. This policy is incorporated by reference into our Terms of Service and is governed by the laws of the State of Utah, United States.

2. General Refund Principles
Gym Optimized operates on a generally non-refundable basis for the following reasons:
- Digital content and subscriptions are delivered immediately upon purchase
- Access to Pro features begins the moment a subscription is activated
- Free trial periods are provided to allow users to evaluate the App before committing to a paid subscription
This policy does not affect any statutory rights you may have under applicable law. Where local consumer protection laws require refunds in circumstances not covered by this policy, those legal requirements take precedence.
3. Free Trial
3.1 7-Day Free Pro Trial
All new Gym Optimized accounts are eligible for a 7-day free Pro trial upon sign-up. During the trial period:
- Full Pro features are available at no charge
- No payment method is required to start the trial
- The trial automatically converts to the Free tier at the end of 7 days unless you subscribe to a paid plan
3.2 One Trial Per User
Only one free trial is permitted per user and per device. Users who attempt to obtain multiple free trials by creating additional accounts may have all associated accounts terminated in accordance with our Terms of Service.
3.3 No Refund Applicable
Because the free trial involves no charge, no refund is applicable. If you did not intend to subscribe after your trial, you must cancel before the trial ends. We recommend cancelling at least 24 hours before the trial expiration to avoid being charged.
4. In-App Subscription Refunds
4.1 iOS Purchases — Apple App Store
All subscription purchases made through the Apple App Store are processed and managed by Apple, Inc. Gym Optimized does not have access to your Apple payment information and cannot process refunds for App Store purchases directly.
To request a refund for an iOS purchase:
- Visit reportaproblem.apple.com
- Sign in with your Apple ID
- Find the relevant purchase and select “Request a Refund”
- Follow Apple’s refund process
Apple’s standard refund policy for subscriptions generally allows refunds within a limited window after purchase. Apple makes all final refund decisions for iOS purchases. For more information, visit apple.com/legal/internet-services/itunes.
4.2 Android Purchases — Google Play Store
All subscription purchases made through the Google Play Store are processed and managed by Google, LLC. Gym Optimized cannot process refunds for Google Play purchases directly.
To request a refund for an Android purchase:
- Open the Google Play Store on your device
- Tap your profile icon → Payments & subscriptions → Subscriptions
- Select the Gym Optimized subscription
- Tap “Manage” and follow the refund process
Google’s standard refund window is within 2 hours of purchase for apps. For subscriptions, refund eligibility depends on Google’s policies at the time of the request. For more information, visit support.google.com/googleplay.
4.3 Direct Purchases — Stripe
For subscriptions purchased directly through our website or through Stripe-processed payments (including Trainer Plans and Gym Leaderboard subscriptions), refund requests should be submitted to support@gymoptimized.com.
5. Subscription Plan Specific Policies
5.1 Free Plan
The Free plan has no cost and therefore no refund applies.
5.2 Pro Plan ($9.99/month or $99.90/year)
- Monthly: No refund for the current billing month. If you cancel, your Pro access continues through the end of the current billing period.
- Annual: No refund for the annual subscription period. If you cancel an annual subscription, you retain Pro access through the end of the 12-month period you have paid for. We do not offer prorated refunds for the unused portion of an annual subscription.
- Exception: If you purchased an annual Pro subscription and experience a verified technical issue that completely prevents your access to Pro features for more than 7 consecutive days due to a fault on our end, you may be eligible for a prorated credit toward a future subscription period.
5.3 AI Basic ($19.99/month or $199.90/year)
Same refund terms as the Pro plan above. AI Basic is marked “Coming Soon” and will not be available for purchase until the feature launches. If AI Basic is purchased in error before launch, contact us at support@gymoptimized.com within 48 hours for a full refund.
5.4 AI Unlimited ($24.99/month or $249.90/year)
Same refund terms as the Pro plan above. Same coming-soon policy applies.
6. Gym Leaderboard Subscription ($20.00/month)
6.1 General Terms
The Gym Leaderboard subscription is a monthly plan for gyms and fitness facilities. It is billed monthly and auto-renews unless cancelled.
6.2 Cancellation
Gym owners may cancel the Gym Leaderboard subscription at any time through their account dashboard on our website. Cancellation takes effect at the end of the current billing month. Access to the leaderboard feature continues through the end of the paid period.
6.3 Refund Eligibility
The Gym Leaderboard subscription is non-refundable for the current billing period. If the Gym Leaderboard feature was not available or was experiencing significant technical issues for more than 7 consecutive days in a billing period due to a fault on our end, gym owners may submit a refund request to support@gymoptimized.com for review.
7. Trainer Plan Refunds
7.1 Available Trainer Plans

7.2 Cancellation
Trainers may cancel their plan at any time through their account settings on our website. Cancellation takes effect at the end of the current billing period. You retain access to your current plan’s features through the end of the period for which you have paid.
7.3 Refund Eligibility
Trainer plans are billed monthly and are generally non-refundable for the current billing period. Refunds may be considered in the following circumstances:
- You were charged for a plan upgrade that did not activate correctly
- A billing error on our part resulted in a duplicate or incorrect charge
- You cancelled within 24 hours of your initial subscription and have not yet used any trainer features during that period
To request a refund for a Trainer plan, contact support@gymoptimized.com within 14 days of the billing date in question.
7.4 Plan Downgrades
If you downgrade from a higher-tier Trainer plan to a lower-tier plan mid-cycle, the downgrade takes effect at the start of the next billing period. No refund or credit is issued for the difference in the current billing period.
8. G.O. Programs
8.1 Program Purchases
G.O. Programs are individually priced workout programs sold within the App. Program purchases are final and non-refundable once the program content has been accessed or downloaded.
8.2 Exceptions
A refund for a G.O. Program purchase may be considered if:
- You were charged but did not receive access to the program content
- The program content is materially different from what was described at the time of purchase
- A technical error on our end prevented you from accessing the program
Refund requests for programs must be submitted to support@gymoptimized.com within 14 days of purchase. Requests submitted after 14 days will not be considered.
8.3 Program Updates and Discontinuation
If Gym Optimized discontinues a program you have purchased, you will retain access to the version available at the time of purchase for as long as the app remains operational. No refund is issued for program discontinuation unless the program becomes completely inaccessible due to a fault on our end.
9. Exceptional Circumstances
We understand that unexpected situations arise. We may, entirely at our discretion, consider refunds in the following exceptional circumstances.
9.1 Extended Service Outage
If the App experiences a service outage or technical failure that completely prevents access to paid features for more than 7 consecutive days due to an error on our end, affected users may submit a refund request for a prorated credit of the affected period.
9.2 Billing Errors
If you were charged an incorrect amount due to an error on our part, we will promptly correct the error and issue a full refund for the overcharged amount.
9.3 Unauthorized Charges
If you believe your account was used to make an unauthorized purchase, contact us immediately at support@gymoptimized.com and contact your payment processor (Apple, Google, or your card issuer). We will cooperate fully with any investigation.
9.4 Medical or Life Circumstances
We are willing to consider refund requests made in good faith under genuine hardship circumstances — such as a serious medical event that prevents use of the App. These requests are evaluated on a case-by-case basis and are not guaranteed. Contact support@gymoptimized.com with documentation and a description of the circumstances.
10. How to Request a Refund from Gym Optimized
For refund requests that fall under our direct jurisdiction (Stripe-processed purchases, Trainer Plans, Gym Leaderboard plans, and exceptional circumstances), follow these steps:
- Email us at support@gymoptimized.com
- Use the subject line: “Refund Request — [Your Name] — [Plan or Purchase]”
- Include the following information:
- Your full name and account email address
- The date of the charge
- The amount charged
- The reason for your refund request
- Any relevant screenshots or documentation
10.1 Response Time
We will acknowledge your refund request within 3 business days and provide a decision within 14 business days of receiving all required information.
10.2 Refund Method
Approved refunds will be returned to the original payment method used at the time of purchase. Processing time after approval:
- Credit/debit card: 5–10 business days depending on your bank
- Apple/Google: Subject to Apple’s and Google’s processing timelines
11. Chargebacks and Payment Disputes
11.1 Contact Us First
Before initiating a chargeback or payment dispute with your bank or card issuer, we strongly encourage you to contact us at support@gymoptimized.com. Many issues can be resolved quickly without the need for a formal dispute, and chargebacks can result in delays in resolving your issue.
11.2 Chargeback Policy
Initiating a chargeback for a charge that is not fraudulent and has not been reviewed by our support team may result in:
- Suspension or termination of your Gym Optimized account
- Loss of access to any active subscriptions or purchased content
- Being prohibited from creating future accounts
11.3 Fraudulent Chargebacks
Initiating a chargeback that is found to be fraudulent or made in bad faith may result in permanent account termination and may be referred to the appropriate authorities.
12. Cancellation vs. Refund
It is important to understand the difference between cancellation and a refund:
- Cancellation stops future billing and retains your access through the end of the current paid period. No refund is issued.
- Refund returns money already paid. Refunds are only available in the specific circumstances described in this policy.
To cancel your subscription:
- iOS: App Store → Your Profile → Subscriptions → Gym Optimized → Cancel
- Android: Google Play → Subscriptions → Gym Optimized → Cancel
- In-App: Settings → Account → [Subscription Management]
13. Governing Law and Dispute Resolution
This Refund Policy is governed by the laws of the State of Utah, United States. Any disputes arising out of or related to this Refund Policy that cannot be resolved through our support process are subject to the Dispute Resolution and Arbitration provisions set forth in our Terms of Service, Section 17, including binding arbitration, the class action waiver, and the opt-out provisions described therein.
14. Changes to This Policy
We reserve the right to modify this Refund Policy at any time. Changes will be effective upon posting to the App. We will notify users of material changes through the App or via email. Your continued use of the App after changes are posted constitutes your acceptance of the updated policy.
